I support the Chief People Officer, Chief Legal Officer, and our Interim CFO members of our General & Administrative Executive Team. In our fast-paced and growing company. I have several years of experience as an Executive Assistant supporting executives, C-Level individuals, and teams. I am flexible and easily adapt to changing priorities. I make it a point to know the business and represent the executives as well as the organization in the absolute best professional light.

You will be responsible for and take pride in...
  • Aligning with our Director of Administration to ensure that Executive priorities, not limited to calendars, are executed so they can complete their obligations in an organized way
  • Respond promptly via Slack, email, text
  • Coordinate internal & external meetings, anticipate conflicts, and solve scheduling issues
  • Build a strong, strategic partnership with executives and their teams to improve day-to-day efficiency
  • Arrange domestic and international travel with the ability to execute last-minute changes, develop itineraries/agendas, book transportation, arrange to the lodge, and coordinate onsite/offsite meetings with detailed budgets including team-building elements, meeting spaces, and presentations
  • Apply and explain complex information as needed to summarize requests and relay information from other parties while maintaining clear and organized notes
  • Anticipate needs with active communication and juggle tasks and deadlines with a strong sense of accountability
  • Work collaboratively with other Executive Assistants with special projects and daily needs, preparation for weekly Executive Team meetings and Events, etc.
  • Handle confidential and non-routine information with discretion and facilitate communication between appropriate team members
  • Develop strong relationships with internal stakeholders and external contacts
You should recognize yourself in the following...
  • 5-10 years of experience supporting C-level executives or senior leaders in a global capacity
  • Depending on the executive's requirement/ travel, there might be a need to be reachable by phone/slack after normal business hours
  • Project management skills with a high level of initiative and strong communication
  • Flawless execution of administrative activities, with high attention to detail, and process
  • Demonstrated ability to maintain a high level of professionalism, confidentiality, and discretion
  • Executive & strategic calendar management in a rapidly changing environment
  • Experienced in coordinating domestic and international travel, managing itineraries, and openness to travel with the executive if needed
  • Complete expense reports with accuracy
  • Expertise with Google Suite/ Slack / Concur Expense/ TripActions/ Adobe/ Box/ and Zoom
  • Strong interpersonal skills
  • Experience in a fast-paced tech environment
  • You can maintain composure under pressure
  • A sense of humor is welcomed and appreciated!
Compensation

$104,400 - $159,000 (base salary)

We also provide an annual bonus based on individual and company performance
