SUMMARY: This position is responsible for providing internal support to the OH&S team as well as P&C account teams. The sole focus is servicing clients through administrative scheduling of meetings, gathering loss data, and preparing work product deliverables. This position requires collaborating with team members toe nhance workflows and process.

FROM THE TEAM: Newfront's Occupational Health and Safety team is compromised of Workers' Compensation, Health & Wellness, and Risk Control Consultants, all working to provide a holistic approach to promoting employees' safety and well-being. By taking a strategic, integrated, and multidisciplinary approach to employee health and safety management, our clients are engaged in reducing the risk of injury and illness while driving down the risk exposure and cost associated with workers' compensation.

General information

  • This position is an hourly, non-exempt and full-time role.
  • This position is remote and/or option to work from any of Newfront's office locations. #LI-Remote
  • This position will report to: Director, Workers Compensation Claims.

What you'll be doing

  • Maintain and update OH&S online data management systems such as ImageRight, Sharepoint, Outlook, and client portals. As well as the Master Client Service List, Service Schedule, and client profiles.
  • Independently monitor and complete service activities based on the OH&S consultants client service calendar to meet service deadlines. This includes pulling loss runs, completing data analysis reports, pulling xmod worksheets, requesting claim status updates and scheduling claim review meetings with carrier, client, and internal parties. Servicing tasks occur monthly to quarterly on a set schedule for the year.
  • Attend and participate in client claim review meetings.
  • Coordinate the onboarding process for new clients using standard materials and processes. Work with account team to obtain pertinent information, obtain online claims access with current carrier, request needed loss data, create employer reference guide, schedule onboarding meeting, draft service place for coming year.
  • Gather policy renewal information and assist consultant with service plan for coming year. Provide resources for carrier change to client.
  • Collaborate on new employee onboarding, drafting materials and providing support.
  • Assisting the OH&S summer interns by providing support, training, assigning tasks, and demonstrating work flows and process.
  • Perform other duties and assist with special projects as assigned.

What you bring to the table

  • Solid communication skills: written, public speaking and presentation preparation.
  • Excellent telephone etiquette for customer service environment including listening without interrupting, using a clear and audible voice, and responding calmly and professionally.
  • Knowledge and use of standard features of Microsoft Office.
  • Ability to ask questions and use resources and tools.
  • Works well with others in a fast-paced environment and be responsive to co-workers and colleagues. Must also work independently, with minimal direction.
  • Adaptability and flexibility to respond to client and team needs.
  • Solid time management skills and ability to manage competing priorities and high volumes.
  • Ability to learn and adopt use of technology systems and software applications.
  • Good organizational skills and attention to detail; ability to screen details and identify potential discrepancies.
  • Ability to review internal/carrier deliverables to ensure accuracy.

Education and experience

  • High School Education required.
  • Minimum 1 year of office management and/or customer service work experience.
  • Property & Casualty Insurance experience preferred.

Certificates, licenses, registration

CA Department of Insurance Property and Casualty and/or Accident and Health License (within first year of hire).
