The Role:
Loom is looking for a Billing Coordinator who will be critical in supporting the Accounting team's billing and collections function. This customer-facing role will report to the Revenue Manager, and as an early member of the Accounting team, will tackle a wide array of internal and external billing questions. This individual will work to improve processes for high-impact areas, such as tracking collections information to inform communications and policy updates.

Your Responsibilities

    • Actively support Loom's customers with complex billing questions by researching billing history and communicating responses via email, Loom, and video calls.
    • Assist internal teams, including Sales, Customer Success, and Customer Support with inquiries regarding specific customer accounts and the overall billing process.
    • Manage and track collections communications with customers in line with the company's collections policy.
    • Create and distribute manual invoices as needed for different revenue streams and custom billing scenarios.
    • Perform data entry to maintain customer accounts and track critical metadata fields for reporting in the billing system.
    • Contribute ideas to continue improving the billing and collections function at Loom and assist with documenting current processes.

What We're Looking For

    • 2+ years of billing and collections experience ideally working with SaaS products in a fast-paced, start-up environment (bonus points if you've used Stripe, Zendesk, and Google Suite).
    • Proven experience working directly with large Enterprise customers and individuals to communicate and resolve complex billing inquiries.
    • Highly detail-oriented and process-focused, adept at diving into the core of a problem and documenting findings in a clear manner.
    • Have excellent written and spoken communication skills, with a customer service approach to billing communications.
    • Quick learner, adaptable to changing processes and learning new systems.
    • Self-starter who is capable of working independently and remotely with a distributed team.

Nice to Have:

    • Strong understanding of the end-to-end quote to cash process, experience with Netsuite and Salesforce a plus
    • Experience with systems implementations and process development
    • Experience working with targets (SLAs, Productivity & Customer Satisfaction)

Loom makes it easier for us to say what we mean without having to schedule a zoom meeting or struggle to find the right words. And using async communication allows us to free up time for deep work every day. We believe there's a place for sync time - often a conversation on Zoom is exactly what is needed. For team meetings, this 'sync time' is typically between 9AM-Noon PT given where the overlap of timezones where Loommates are located.

Work-Rest Balance: The way we balance the fast-paced demands of a high-growth startup and sustainability is making rest a priority. We offer a flexible PTO policy so you're able to take time off when you need it. We also go fully offline once a year between Christmas and New Year (and twice during the Pandemic). Rest is also part of the workday, not just during PTO. Taking a break for personal commitments, whether it's watching the kids or getting some exercise is natural part of the workday.
