Project Support Specialist

POSITION DESCRIPTION

Project Support Specialist is responsible for the successful design, fabrication, and installation of signs and graphics inquired and/or ordered by customers. The person filling this role will be responsible to respond to customer inquiries that require site visits and surveys that provide critical information used by the sales staff in the development of estimates. In the computer room, this position will support the graphic designer responsible for creating computer generated vinyl and/or full color graphics output that can be weeded, cut and applied or printed and mounted to a substrate. This may involve various levels of artistic creativity and will ultimately lead to the complete or modified design from customer drawings, files, or exact output of customer-provided design for output to media. In the production room, this position is responsible for supporting several aspects of the physical construction and assembling of signs from computer cut vinyl and wide format full color printouts. Sign assembly includes preparing substrates and applying vinyl or other media, mounting and/or laminating prints and operating and setting up the laminator for over-laminating, encapsulation, or mounting of digital imaged products. according to instructions. Proofreading signs and conducting quality assurance to ensure the accuracy of signs is also a responsibility.

RESPONSIBILITIES

1. Respond to customer calls for estimates to schedule site surveys.

2. Take measurements, photos, and document details of the potential project to assist in the estimating formulation and design process.

3.Coordinate with suppliers to build estimates for parts that our fabricated outside of the shop.

4.Assist the senior graphic designer by designing moderate to mild level sign designs.

5. Assist in the production process by preparing substrates & graphics for assembly.

6. Track the progress of estimates for projects that required site surveys.

7. Use personal vehicle (mileage reimbursement) to travel to job sites for site surveys or customer interaction.

8. Track mileage for reimbursement.

9. Maintain the integrity of the POS client database with correct information, emails, etc.

10.Assist the sales team by securing quotes from vendors for estimates and or orders.

11.Track orders from subcontractors to ensure on time delivery expectations.

12.Triage Gmail and label emails according to the type as defined by management.

13.Call customers on the aging report to secure payment, emailing invoices and statements, and perform the daily reconciliation

14.Assist the sales team for project management to ensure projects are on schedule and

customers are aware of any delays.

15.Ensure all installation photos are in the correct folder and the invoice is sent to the client with

a link to the photos.

16. Assist in the management of the sales calendar with regard to consultations, site surveys, and requested visits to provide a seamless customer experience.

17. Participate in and practice the FASTSIGNS sales mentality of "Everybody Sells". Constantly be looking for sales opportunities for the center.

18. Serve as a backup for answering the phone if the manager, andsales/service employees are busy assisting other customers. Assist at the front counter as needed.

19. Assist in the management of the installation scheduling utilizing the shared G-Suite installation calendar to ensure the project is delivered on time and on budget.

20. Maintain an accurate installation calendar reflecting all installation commitments while ensuring flexibility to accommodate rushes, high profile clients, and unforeseen circumstances.

21. Conduct an installation meeting and delegate daily tasks to the installation teams

22. Coordinate the installation teams and assign installations based on project type

23. Act as an advisor to the sales team. Communicate with the sales team on pricing and time allocation, scheduling the right team and securing the right equipment or vehicle for the project.

24. Ensure quality installations and client satisfaction.

25. Organize third-party providers and vendors for remote installations not performed by the in- house installation team.

LEVEL OF AUTHORITY

  1. No supervisory requirements.
  2. Reports directly to Center Manager or Sales Manager
SKILLS AND QUALIFICATIONS

  1. Gmail Experience
  2. Proficient Organizational Skills
  3. Excellent Communication Skills both Verbal and Written
  4. 2-3 years of sign or construction experience.
  5. 2-3 years of basic graphic design experience.
  6. Current valid driver's license


SKILLS AND QUALIFICATIONS

  1. Prior installation experience in the sign industry preferred but not required.
  2. Excellent verbal and written communication skills for understanding project requirements and relaying these needs to the installation team and third-party vendors
  3. Goal-setting to set realistic deadlines and strategize daily, weekly, monthly, and quarterly progress
  4. Problem solving abilities to correct any challenges or inefficiencies for the best results
  5. Decisiveness and good judgment to address pressing project matters when time is limited
  6. Leadership and motivation to guide the team in making consistent progress
  7. Ability to work under pressure to output high volume, high quality work.
  8. General familiarity with safe operation of power equipment and general construction tools/methods.
  9. Ability to fulfill projects in wide temperature variances and exterior weather conditions.
  10. Moderate knowledge and experience with calculating square footage and linear measurements.
  11. Moderate knowledge and experience calculating costs, applying margin vs markup.


TYPICAL PHYSICAL DEMANDS

  1. Ability to sit/stand for long periods.
  2. Ability to view a computer screen for long periods.
  3. Ability to work under pressure to output high volume, high quality work.
  4. Ability to lift 50 or more pounds.
  5. Flexibility to lean over a waist-high table and use back forth hand motion to apply vinyl letters and graphics to a substrate.
  6. Ability to use light power equipment.
  7. Ability to safely climb a ladder and take measurements.
