ATTENTION: This is position is remote until office opening in the Fall.


SCOPE AND PURPOSE:

Reporting to the Senior Vice President of International Development, the International Program Associate (IPA) is responsible for a range of tasks and assignments, including, but not limited to, support for administration, knowledge management, business development (BD), communication and outreach, strategic and board meeting planning, research, correspondence, scheduling, and other assigned tasks as needed.

The International Program Associate works closely with the international program team and also provides support to the Vice Presidents of International Operations and Business Development in an array of administrative and programmatic support tasks and activities. The International Program Associate will serve as a member of a core team that provides support to the entire organization as needed during special events including administrative support, meeting and event preparation, and other activities. The IPA is expected to prioritize administrative and BD assignments and communicate any issues and possible conflicts to the SVP in timely manner. S/he is expected to work in a positive, professional manner with all NCBA CLUSA staff, members, potential members, partners, vendors, and the general public.


ESSENTIAL AREAS OF RESPONSIBILITY

  • Provides day-to-day administrative and programmatic support to the Senior Vice-President (SVP) and the International Department as a whole.
  • Supports new business development with the development, copying, editing and production of various documents that are integral to the proposal process.
  • Monitors new business opportunities online, daily, and liaises with practice area teams to obtain intelligence.
  • Leads the assembly of department materials into a cohesive knowledge management library. This includes training materials, project evaluations, proposal templates, Project Performance Reports (PPRs), Corporate Capabilities Statements, CVs, BD statistics and performance-tracking documents, presentations, background materials, and communications collateral.
  • Coordinates travel and logistics support for the International Department, and consultants, preparing travel authorizations and expense reports in compliance with NCBA CLUSA and donor regulations.
  • Interacts with practice area leads and coordinates with the Office of the President to assemble project information for the Board of Directors.


RESPONSIBILITIES

  • Assists with the coordination of new-hire orientation scheduling and international events, trainings, and retreats, including logistics, travel, and information.
  • Attends conferences and other external events, in collaboration with the Communications Department, to represent NCBA CLUSA and showcase project work.
  • Represents the International Department at the Twin Pines meetings.
  • Coordinates departmental staff meetings and serves as liaison with administrative personnel in other departments.
  • Travels internationally to support business development activities as needed.
  • Other reasonable duties as assigned.


SKILLS AND EXPERIENCES

  • A college degree, preferably in a relevant field of international affairs, international business, non-profit management, or regional area studies.
  • One to two years' experience working in international development or other relevant international setting.
  • Additional years of professional experience in a similar position will be considered in lieu of a college degree.
  • Fluency in English required; French, Spanish or Portuguese language skills desirable.
  • Demonstrated excellent oral and written communication skills in English; strong writing and proofreading a must.
  • Research and analytical skills, with the ability to synthesize materials.
  • Demonstrated characteristics: self-motivated, initiative, leadership, strong interpersonal skills, positive attitude, and team player.
  • Ability to manage multiple tasks and assignments.
  • Ability to solve practical problems and deal with a variety of variables in situations where complex tasks are necessary.
  • Proficiency using MS Windows and MS Office products and Web Conferencing Applications. Must have intermediate to expert level Excel skills.


PHYSICAL ACTIVITIES

While performing the duties of this job, the employee is regularly required to sit, use hands to write or type, use arms to reach for items and turn head to speak and/or hear others. The employee will frequently walk, reach, stoop, push and pull up to 20 lbs. and lift up to 10 lbs. Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus.
